Having spent time and money planning for an event such as this, it's vital to ensure that the recording is of a very high standard in order to capture all the speakers and any other sessions. Most conference venues will be happy to recommend audio visual companies who can take care of this for you, or they may have their own in-house arrangements. If you have a choice, we would strongly recommend choosing a digital recording. This produces a high quality recording which in turn results in reduced transcription costs and turnaround times. Take a look at our comparison between digital and analogue recordings. That's what we can provide. What we need from you as conference organisers and clients is a list of speakers, an agenda so we can see the speaker order, the title of their presentation and a list of delegates. The latter helps enormously in transcribing any Q&A sessions and ensures we have the correct spelling of names and companies, in order to produce a transcript with all the speakers and other participants identified where possible. Every conference
covers a specialised area with its own terminology and keywords,
together with brand names, companies, scientific terms and individuals
which may only be obvious to anyone inside the industry or organisation.
It helps if clients can provide some of the keywords, but we have the
experience to meticulously research any specific topic to ensure the
minimum of queries.
ALL RECORDINGS are listened to a second time, Internet research is carried out to identify names or terminology, and all transcripts are proofread by the Director, Irene Boston, before being sent to clients. There is no extra charge for this service. Not all transcription companies do this, some don't even proofread, so make sure you ask the right questions before choosing a service. As conferences can be quite lengthy, resulting in a substantial length of recording, we recommend that you contact us as early as possible before the event. This will allow us to reserve space for you in our schedule. Waiting until the conference is completed, and then trying to find an experienced transcriber at short notice to quickly turnaround a day or week long conference could be difficult. Most professional transcription companies have a long list of regular customers and to suddenly find a block of free space can be difficult. So book your transcription company in advance, the same way you would the event venue or caterers. We provide a free File Upload service for all digital recordings via our website to ensure prompt delivery to our transcription team. We can also download your audio sound files directly from your websiter, or you can post CDs directly to us but that will obviously introduce delays in starting on the transcription. Should your conference have been recorded on standard audio tapes or minidiscs, we can still provide an audio transcription service. Where possible, we always convert any minidisc or analogue recordings into digital format, which cuts out on repeated stops and starts and increased wear on precious original recordings. Subsequently, we can also provide you with that digital re-recording free of charge, provided the originals are clearly audible. Our default transcript style is Intelligent Verbatim as that is the most cost effective method of transcription. Please read our definitions of Complete Verbatim, Intelligent Verbatim and Edited Transcript to choose which format is most suitable for your needs. We have a standard script style layout for all conferences but we are also happy to work in your house style to save you reformatting work. As with all our transcriptions, we provide a Transcript Code on each document to signify areas which are inaudible or unclear.
